No Flip Charts Required! - Running Efficient and Effective Process Discovery Workshops

This technique has subsequently been used in other areas of the University and forms the basis of what we would like to share with the Lean HE community via an interactive workshop.
This session seeks to demonstrate one of the techniques that is being used effectively at the University of Cambridge to gather current state information and allow us to identify opportunities for improvement:
- Slides will be used to explain the context in which the technique was used, and how the information gathered was then further built upon.
- The hands-on opportunity will then involve small groups populating a ‘SIPOC Extra’ template based around a HE common scenario. Background information will be provided in order to provide context for the scenario.
- Examples of further outputs will then be given so that it is possible for delegates to see how the information gathered can be presented and used.
In 2017 the University of Cambridge Research Operations Office embarked on a journey to document and improve business processes. Working collaboratively with University Information Services colleagues a comprehensive exercise in understanding ‘current state’ processes took place for Research Grants and Contracts Administration. Using SIPOC as a start point, a set of “SIPOC Extra” templates were produced which formed the basis of the process discovery workshops.
