IT AND SOFTWARE ASSET MANAGEMENT PROCESS
Here is a Brief Process Overview
Recommend & Plan
Initial phase of the project will be a series of meetings to understand the scope of the project, identify issues, stakeholders, sites & locations, roles and responsibilities, contacts, timescales, milestones and deadlines. During this phase the team will be introduced to the various contacts in preparation for the following discovery phase.
The discovery phase will take various forms and contain various activities depending on the scope. This phase will aim to gather all the information about the in scope areas such as Discovery Tools, Deployment Methods, Licensing and entitlement, Policy and Process, Procurement. It will provide all the data and information to ensure a robust SAM implementation can be built and maintained.
All the information gathered in the Discovery Phase will then be collated and analysed. Issues with all gathered information such as entitlement short falls, discovery tool coverage, product & licence mismatches, policy and process gaps, training will be identified. Risks and opportunities are identified and prioritised with cost savings as a key objective
Based on the analysis phase we will make recommendations identifying what will need to be done to rectify any issues found. We will also present a project plan, SOW and KPI's to implement the required tasks, deploy relevant tools and focus on priority risks and opportunities
Providing the Recommendations and Plan are approved and agreed, the tasks identified in the analysis phase and presented in the previous phase will be implemented. This section is likely to include various team members with varying skillsets including tool deployment, licensing, process and efficiency
Whilst we anticipate regular reviews throughput the entire project, this phase is critical to ensure that all the aspects of the project have been addressed and rectified. If some elements of the project have not been met they will be revisited at this stage. Identification and calculation of ROI will be done on a continual basic
Once the project has been agreed as completed the solution can be moved to Business as Usual. We would anticipate this being managed on managed service basis for a period of time. During this stage any problems that do arise can be managed and any changes to scope can be identified and handled.
As an option a managed service can be offered to maintain the service on an ongoing basis.
